COORDINATOR
Reporting line: Communications Associate Manager
Location: Kigali - Rwanda
Overview:
The role of the Communications Coordinator is to support the day-to-day work of
the communications team, maintain strong communications frameworks, and
maintaining the core communications functions.
Key Duties and
responsibilities:
Reporting and planning
- Prepare bi-weekly budget spend reports delineated by project (i.e. total
cost, including line-items, etc.)
- Prepare weekly, monthly, and 90 day plans, which include activities related
to delivering TORs
- Plans due: 90 day plan first week of each quarter; weekly reports due
Mondays; monthly plan due first of the month
Ni Nyampinga magazine delivery
- For each Ni Nyampinga magazine issue, the Girl Hub Rwanda team distributes to
influencers throughout Rwanda. The Communications Coordinator will be
responsible for:
* Keeping to the timetable so that magazines will be delivered to
influencers the week before general distribution
* Support the development of a creative delivery tool for the magazine
that speaks directly to the issues theme. This includes:
- Manage package production process
- Ensure package production stays within budget
* Manage distribution of magazine to influencers
- Ensure Kate approves and signs letters
- Packages complete with all components
- Manage delivery and ensure magazine reaches its intended target
- Manage delivery of magazines to Portland and London Nike Foundation/Girl Hub
offices
* For each issue, coordinate delivery of 50 Kinyarwanda issues and 50
English issues to each office
* If relevant, send Rwanda influencer packaging, letters, etc. to each
office
Calendar
- Maintain the Girl Hub Rwanda calendar
- Meet weekly with each Girl Hub Rwanda team member to ask for any calendar
updates
- Write updates on the front calendar
- Keep an updated digital copy of the calendarprovide to the Communications
Manager weekly
- Calendar events include:
* Reports due (to MoH, Pres Office, etc.)
* 12+ scale plan
* Ni Nyampinga production schedule (magazine and radio)
* School holidays, when in session, etc.
* External partner events (i.e. National Childrens Summit, etc.)
* Team member vacation / PTO
* Visitor schedules
* Relevant meetings
External stakeholder relations
- Maintain updated database of all orgs relevant to Girl Hub Rwandas work
- Maintain updated database of all Girl Hub Rwanda external relations
- Work closely with Donatha and Communications Assoc Manager to keep proactive
management of the database
- Deliverables include:
* Input Player Landscapeinto Salesforce (root)
* Ensure updated contact information for all relevant individuals kept in
database
* Ensure updated organization and individual information including bio,
organization objectives, organization about, relevant people, relevant
history, relevant relationships with other orgs
* Meet weekly with each Girl Hub Rwanda team member to check in on any
external meetings
* Update SalesForce information to include: Date of meeting/encounter,
meeting participants, topline outcomes
Event support
- Support the Communications and Brand team to execute events
- Terms developed per specific event
Ad hoc support
- Manage printing as needed
- Support the communications team for unforeseen needs
Essential skills and
experience:
- Exemplary written and oral Kinyarwanda and English
- Strong attention to detail
- Knowledgeable about Rwandan influencer landscape
- Self-motivating and starting - Proactive
- At least 2 years of communications experience
- Ability to work in diverse team
- BA degree required, preferred in language-intense and/or communications
fields
- Record of work in E. Africa/Rwanda and/or teens preferred
- Strong sense of Ni Nyampinga teen spirit, history of bringing to life teen
spirit
